Account & Data Deletion — AsanShipping

This page explains how users of AsanShipping (including the Asan Shipping Android application, package com.asanshipping.mobile, and the Merchant Web Portal) can permanently delete their account and associated data — including how to complete or request deletion without reinstalling the mobile app.

STEP-BY-STEP OPTIONS

How to Delete Your AsanShipping Account

Choose whichever method fits your situation. Options 1 and 2 work from any browser without needing the Android app installed.

Option 1 · Web Browser

Self-Service via Web Portal (No App Needed)

  1. Sign in to the Merchant Web Portal at web.asanshipping.com.
  2. Open Settings → Account tab.
  3. Scroll to the Delete Account section and click Delete Account.
  4. Type the exact confirmation phrase yes delete my account and enter your account password.
  5. Submit to permanently delete your account immediately.
Open Web Account Settings
Option 2 · Email Support

Request Deletion by Email (Without Signing In)

If you uninstalled the app and cannot access the web portal, send an email from your registered AsanShipping email address to support@asanshipping.com:

  • Include your registered email address and store name.
  • We will verify ownership via your registered email inbox and process the deletion.
Email support@asanshipping.com
Option 3 · Android App

Delete Directly Inside the Android App

  1. Open the Asan Shipping app on your phone.
  2. Tap the Settings (gear) tab on the bottom navigation bar.
  3. Tap Your account at the top of Settings.
  4. Tap Delete my account, enter your password, and confirm.
Note for Google Sign-In Accounts: Because account deletion requires password verification to prevent unauthorized store destruction, Google-only accounts without a password should first use “Forgot password?” on the sign-in screen to set a password, or use Option 2 above.

How Deleting an Account Differs from Other Actions

Uninstalling the Android App or Signing Out

Removing the Asan Shipping app from your phone or tapping Sign out only ends your session on that device and unregisters its push notification token. Your merchant account, store settings, and order records remain intact in the cloud until you explicitly delete your account.

Canceling a Subscription or Disconnecting Shopify

Switching subscription plans or uninstalling the Shopify app stops recurring plan renewals or clears your Shopify access token, but does not delete your AsanShipping user profile or historical store records.

Removing a Team Member (Manager / Team_Member)

When a Store Admin removes a staff member in Settings → Team, or when a non-sole-member deletes their own account, only that individual's User account is deleted. The merchant's store and operational data remain active for the remaining team.

Permanently Deleting the Sole / Last User of a Store

When the last remaining user of a store deletes their account, AsanShipping permanently deletes both the User account and the entire Tenant store along with its operational collections. This action cannot be undone.

Sole-Admin Protection for Multi-Member Stores

To prevent a business store from becoming locked with active staff members and no administrator, our server enforces a safety check: if you are the only Admin on a store that still has other team members (Manager or Team_Member), you must first either:

  • Promote another team member to Admin (if the store will continue operating without you), or
  • Remove all other team members in Settings → Team first, and then delete your Admin account to trigger full store deletion.

What Data Is Deleted vs. Retained

Permanently Deleted Upon Account / Store Deletion
  • User Profile: Your User document (name, email, phone, password hash, 2FA secrets, profile avatar reference, and role permissions).
  • Store & Credentials (when the last user of a store deletes their account): The Tenant store record and encrypted Shopify and courier API credentials (ApiCredential).
  • Orders, Customers & Inventory (on store cascade deletion): All tenant-scoped Order, Customer, CustomerRiskHistory, HistoricalParcel, Product, Category, Coupon, ProductReview, Purchase, PackagingMaterial/Purchase/Consumption/Damage, ReverseLogistics, and Scrap records.
  • Communications, Finance & Storefront Records (on store cascade deletion): Tenant-scoped CommunicationLog, CommunicationEvent, WhatsAppMessage, WhatsAppTemplate, WhatsAppBillingLedger, WhatsAppSuppression, CommunicationUsageLedger, GeneralExpense, MarketingSpend, CostConfig, Settlement, SettlementLine, MediaAsset, DeveloperWebhookEndpoint/Delivery/ApiLog, and StorefrontTheme/Domain/Design/Event documents.
Retained for Legal, Accounting or Security Integrity
  • Billing, Wallet & Payment Verification Records: Platform billing and credit records (Wallet, WalletTransaction, PaymentRequest, SubscriptionBillingRecord) are retained outside the operational cascade where necessary for financial accounting, tax/audit compliance, and payment dispute verification.
  • Security & Administrative Audit Logs: Administrative security audit logs (AuditLog, ServicePolicyAuditLog) are retained to preserve platform security and investigate unauthorized access.
  • Short-Lived TTL Security Records: Email OTP throttling records (OtpToken, 24-hour TTL) and session records (AuthSession, purged automatically at token expiry) expire automatically via MongoDB TTL indexes.
  • Data Already Transmitted to External Couriers: Consignment details previously booked with external courier companies (Trax, PostEx, Leopards, TCS Envio, M&P) for physical parcel delivery are governed by those carriers' own shipping and regulatory retention policies.
